A hotel total is a decision estimate built from dated source terms. Keep every component, assumption, and unknown visible so a low room rate does not conceal a costly or inflexible stay.

Treat the total as a decision estimate
The purpose of the estimate is to compare plausible trip costs on one basis, not to predict the final card charge. Hotel terms vary by property, provider, date, room, occupancy, residency, currency, and payment method. There is no universal fee rule that can replace the terms attached to the offer.
Start each option with its source, date checked, quoted currency, stay dates, room, and occupancy. Then keep confirmed amounts, calculated assumptions, and unknowns in separate columns or notes. Never use zero for a cost the source does not answer.
Build the cost ledger line by line
Check every line against the same trip brief. A component can be included in one offer, excluded from another, or absent from the source entirely.
- Base stay and occupancy
- Record the exact dates, night count, room category, number of adults and children, child ages, bed setup, and the price basis shown for that occupancy.
- Taxes and service charges
- Capture each amount or percentage shown, what it applies to, and whether the source says it is included, excluded, or payable later.
- Destination or facility fees
- Look for resort, destination, facility, amenity, city, or similar required fees without assuming the same label or rule applies everywhere.
- Transfers and local movement
- Include required transfers, airport pickup, parking, public transport, taxis, or other local transport needed for the actual itinerary.
- Meals and beverages
- List the meal-plan basis, included venues or credits, beverage terms, service periods, and likely essentials that remain outside the offer.
- Mandatory supplements
- Check for required event, holiday, seasonal, gala, extra-bed, or occupancy supplements tied to the dates and traveler mix.
- Cancellation and payment
- Record deposit amounts, payment dates, cancellation deadlines, penalties, refund timing, and which amounts are due now, later, or at the property.
- Currency and card costs
- Keep the quoted currency, conversion source and date, exchange-rate assumption, and possible issuer, foreign-transaction, or provider conversion fees visible.
- Source, date, and unknowns
- Attach the provider or booking source and date checked to every estimate. Mark missing or conflicting items Unknown—verify rather than entering zero.
Make the arithmetic comparable and auditable
Convert options to the same stay length, occupancy, and comparison currency. Show the conversion source, rate date, and card-fee assumption beside the math. A later exchange-rate movement or provider conversion choice can change the amount charged.
- Add only cost lines supported by the dated source or a clearly labeled estimate.
- Separate amounts due now, before arrival, at the property, and conditionally after a change or cancellation.
- Keep refundable deposits, authorization holds, and potential penalties distinct from the expected stay spend.
- Place Unknown—verify beside any unresolved tax, fee, supplement, inclusion, transport, or currency question.
When comparing the resulting estimates, return to the broader hotel comparison framework. The lowest estimated total is not automatically the best fit when location, room terms, logistics, or cancellation flexibility differ.
Send the provider an itemized final-check request
Ask the hotel or booking provider to confirm the exact offer before payment. Keep the response with the estimate and date it was received.
- What is the full amount for these dates, room, and travelers, and which taxes, service charges, facility or destination fees, and supplements are included?
- Which transfers, parking, meals, beverages, facilities, or credits are included, and what required trip costs remain outside the offer?
- Which currency will be charged, who performs any conversion, and when is each payment, deposit, or hold taken?
- What cancellation, change, no-show, refund, and payment policies apply to this exact rate?
